Who we are
neesh Inc. is the data controller for information collected through the neeshinc.ca website and the data processor for information processed through AskBase on behalf of your organisation. Our registered address is 112 King Street East, Hamilton, Ontario, L8N 1A8, Canada.
Information we collect
We collect information in two contexts:
- Marketing site (neeshinc.ca): your name and email, and anything else you write, when you book a meeting through the TidyCal calendar on our contact page or email us from it. That is the only information this website asks you for. Like any website, it is also delivered by a host that receives each request: Cloudflare, which hosts this site, receives your IP address, the page you ask for, the page you came from and your browser's user agent, and keeps them under its own privacy policy. We run no analytics at all: Google Analytics was removed on 22 September 2026 and nothing has replaced it, so browsing the site sets no analytics cookie and we keep no record of your visit. If we adopt a cookieless analytics tool, it will be named on our Subprocessors page before it is switched on.
- AskBase platform: account credentials (email, organisation name), documents you upload, queries you submit, and usage metadata (response times, query counts, storage consumed). This data is processed under your organisation's Data Processing Agreement.
How we use your information
- To deliver and improve the AskBase service
- To manage your subscription and send billing-related communications
- To respond to support requests
- To detect and prevent security incidents
- To comply with legal obligations
We do not sell, rent, or share your personal information with third parties for marketing purposes. We do not use your documents or queries to train AI models.
Sub-processors
We use third-party services to deliver AskBase. A full list is available on our Subprocessors page. Key processors include AWS (hosting), Anthropic and OpenAI (AI inference), and Stripe (payments).
This website has its own, much shorter list, and none of the services above are on it: Cloudflare, which hosts it; TidyCal, for the booking calendar on our contact page; and Microsoft 365, where email you send us arrives. The same page sets out what each receives and where.
Data retention
Account data is retained for the duration of your subscription plus 30 days after termination (export window). Query logs are retained for 90 days by default. Document embeddings are retained until you delete the source document.
Your rights
Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws, you may request access to, correction of, or deletion of your personal information. EU and UK residents may also exercise rights under the GDPR via our DPA.

Security
We use industry-standard security practices including encryption in transit (TLS 1.2+), encryption at rest, and role-based access controls. For details, see our Security page.
Changes to this policy
We will notify you of material changes via email to the account billing contact at least 30 days before they take effect.
